Refund Policy

At Naim Studio, we are committed to delivering high-quality digital services that meet or exceed your expectations. We work closely with our clients throughout the project lifecycle to ensure satisfaction with the final deliverables.

2. Deposit Policy

Most projects require an initial deposit (typically 50% of the total project cost) before work commences. This deposit:

  • Secures your project slot in our schedule and covers initial planning and setup costs
  • Is non-refundable once work has begun, as it compensates for time, resources, and opportunity costs
  • May be refundable if we cancel the project before any work has commenced

3. Refund Eligibility

Refunds may be considered in the following circumstances:

3.1 Before Work Begins

If you cancel your project before we have started any work, you may be eligible for a full refund of your deposit, minus any administrative fees (typically $100-$250 depending on project scope).

3.2 During Project Development

Once work has commenced, refunds are calculated based on work completed. You will be charged for:

  • All hours worked at our standard hourly rate
  • Any third-party costs incurred on your behalf
  • Administrative and project management time

Any remaining balance after deducting these costs may be refunded.

3.3 Service Not as Described

If the final deliverables materially differ from what was agreed upon in the project scope and we are unable to rectify the issues through revisions, you may be eligible for a partial refund. This will be assessed on a case-by-case basis.

4. Non-Refundable Circumstances

Refunds will not be provided in the following situations:

  • Change of mind after work has commenced or been completed
  • Delays caused by client failure to provide necessary materials, feedback, or approvals
  • Dissatisfaction with deliverables that meet the agreed-upon project specifications
  • Third-party costs (hosting, domains, licenses, stock assets, etc.) that have been purchased on your behalf
  • Projects where the client has approved final deliverables and payment has been completed
  • Requests made more than 30 days after project completion and final payment

5. Revision and Correction Policy

Before requesting a refund, we encourage you to work with us to address any concerns. Each project includes a specified number of revision rounds (typically 2-3, as outlined in your project agreement). We will make reasonable efforts to address legitimate concerns and ensure the deliverables meet the agreed-upon specifications.

6. Refund Request Process

To request a refund:

  1. Contact us at refunds@naimstudio.com with your project details and reason for the refund request
  2. Provide any relevant documentation or correspondence related to your concern
  3. Allow us 5-7 business days to review your request and respond
  4. If approved, refunds will be processed within 10-14 business days to the original payment method

7. Dispute Resolution

If you are not satisfied with our refund decision, we encourage you to contact us to discuss the matter further. We are committed to finding fair solutions and maintaining positive client relationships. If we cannot reach a mutual agreement, disputes may be resolved through mediation or arbitration as specified in our Terms of Service.

8. Subscription Services

For any subscription-based services (such as maintenance plans or ongoing support):

  • You may cancel at any time, but no refunds will be provided for the current billing period
  • Cancellation will take effect at the end of the current billing cycle
  • No refunds will be provided for unused time in a subscription period

9. Third-Party Services

We are not responsible for refunds related to third-party services or products (such as hosting providers, domain registrars, or software licenses) purchased on your behalf or recommended by us. Refund policies for these services are governed by the respective third-party providers.

10. Changes to This Policy

We reserve the right to modify this Refund Policy at any time. Any changes will be posted on this page with an updated "Last updated" date. Changes will not affect projects already in progress unless mutually agreed upon in writing.
